Terms of Service
Effective: August 22, 2026 · Version 2026-08-22
Important: Avora supports administrative and documentation workflows. It does not replace professional judgment, a clinic’s practice-management system, a certified claims system, or a payer’s eligibility determination.
1. Agreement and authority
By creating or configuring a clinic workspace, you confirm that you are authorized to act for the clinic and agree to these Terms and the Privacy Policy. If you do not agree, do not connect clinic systems or enter patient information.
2. Permitted use
The service may be used by authorized dental-office personnel for lawful scheduling, communications, insurance follow-up, documentation, reporting and related practice workflows. You must follow professional obligations, privacy laws, consent requirements, payer rules and software-vendor terms.
3. Human review
Generated transcripts, summaries, insurance notes, treatment-plan drafts, messages and proposed actions may contain errors. Qualified staff must review them before clinical reliance, patient communication, booking, claim activity or write-back to a source system. Clinical decisions remain with regulated professionals.
4. Insurance limitations
Practice-management data, fee schedules and historical claims are not proof of current eligibility or payment. Live benefits must be verified through the clinic’s authorized clearinghouse, payer or certified claims workflow. Benefit estimates are not guarantees.
5. Accounts and security
Each user must use their own authorized sign-in and protect access to their device and account. Shared credentials, unauthorized access, security testing without permission, automated abuse, scraping and attempts to bypass approval or tenant controls are prohibited.
6. Clinic responsibilities
- Configure correct office, provider, operatory, appointment and escalation rules.
- Obtain required patient notices and consents, including for recording, before enabling manual or automatic conversation capture.
- Keep visible recording notices and automatic-listening settings appropriate for each room and workflow.
- Grant only necessary access to connected systems.
- Review actions and verify completion in the source system.
- Maintain required clinical, privacy, security and records-management policies.
7. Third-party services
Stripe, communications providers, model providers, CRMBridge, practice-management systems, calendars, email services, insurers and clearinghouses are governed by their own agreements and availability. Avora is not responsible for a third party’s independent acts or service interruption.
8. Fees and subscription
Subscription charges, billing interval, taxes and promotional terms appear at checkout. Subscriptions renew until cancelled. Access may be suspended for failed payment, material security risk, unlawful use or breach of these Terms.
9. Availability and changes
We aim to provide reliable service but do not promise uninterrupted availability or compatibility with every software version. Capabilities may be limited, disabled or routed to manual review when a connection cannot be verified safely.
10. Confidentiality and ownership
The clinic retains its rights in clinic and patient data. Avora retains rights in the platform, software and documentation. Each party must protect the other party’s confidential information and use it only for the agreed service.
11. Disclaimers and liability
To the maximum extent permitted by law, the service is provided without warranties that would require it to replace required professional review. Avora is not liable for decisions made without required review, inaccurate clinic configuration, unauthorized use, payer decisions or third-party outages. Any contractual limits must be confirmed in the clinic service agreement.
12. Termination and export
A clinic may cancel its subscription and request an export of available clinic records. On termination, access may end immediately or at the end of the paid period, subject to security, legal retention and data-return obligations in the clinic agreement.
13. Governing law and contact
These Terms are governed by the laws applicable in Ontario, Canada, subject to mandatory law. Questions may be sent to support@dentalofficeai.ca.
